How Vicinage works
Every engagement follows the same documented four-step process. You have visibility at every stage and a defensible report at the end.

Brief your engagement
Submit your booking request through the online form. You'll specify the service type, the counterparty or site, the specific aspects you need verified, and your deadline.
Within 24 business hours, our team will review the brief, confirm scope, and issue a fixed-fee quote. Nothing moves forward without your confirmation.

Inspector assignment
Our team assigns a qualified inspector based on sector specialization and proximity to the site. You'll receive the inspector's profile, credentials, and the scheduled visit date.
Inspectors are vetted, credentialed for their sector, and operate under Vicinage's published methodology. They carry Vicinage identification to all visits.

Site visit
On the scheduled date, the inspector arrives at the site. Arrival and departure are geotagged. All photos are captured with GPS coordinates and timestamps embedded in the file metadata.
Observations are recorded against a structured checklist tailored to your service type. The inspector also captures a walk-through video and free-form notes for anything outside the standard checklist.
If a site visit must be rescheduled or cannot be completed (e.g., locked premises, refusal of access), this is documented and reported — it's a finding, not a failure.

Report delivery
The inspector submits a draft report. Our team reviews every photo, checks all structured fields, and may request additional information before certifying.
The certified report is delivered as a PDF to your client portal and by email. It includes the engagement reference, inspector identity, team certification, all geotagged photos with captions, and a unique cryptographic hash for post-delivery verification.
Reports are delivered within the published SLA from scope confirmation — 3 to 7 business days depending on service type.
Defensibility
Every report is designed to stand up to scrutiny. Geotagged evidence, verified inspector identity, PM certification, and a cryptographic hash mean the report you receive is the report that was generated — unmodified. Read the full methodology for detail.
